Position Description
Project Coordinator – Transportation & Heavy Construction
Makin' It Move Transport, LLC is a growing, women-owned transportation company serving the heavy construction industry. We are seeking a dependable, organized, and assertive Project Coordinator to help manage the day-to-day coordination of active hauling projects.
This is not strictly an administrative position. The Project Coordinator serves as a key point of communication between our company, prime contractors, project personnel, drivers, owner-operators, and other subcontractors. The right candidate must be comfortable working in a fast-paced environment where project needs, truck counts, schedules, and jobsite conditions can change quickly.
Key Responsibilities
- Serve as a primary point of contact between Makin' It Move Transport and prime contractors, project foremen, drivers, owner-operators, and subcontractors.
- Coordinate daily trucking and hauling requirements for assigned projects.
- Monitor required truck counts and assist with securing adequate trucking capacity to meet project demands.
- Communicate project schedules, start times, locations, hauling instructions, and changes to the appropriate personnel.
- Maintain regular communication with project foremen and prime contractors regarding project needs and operational changes.
- Track project activity and ensure required information, tickets, records, and documentation are received and properly maintained.
- Make and receive a high volume of business-related phone calls, texts, and emails.
- Maintain accurate project records and enter information into company systems and databases.
- Communicate project changes promptly to other departments and affected personnel.
- Identify scheduling, staffing, communication, or documentation issues and assist in resolving them before they interfere with operations.
- Follow up consistently on outstanding information and incomplete project requirements.
- Assist other office personnel as operational needs require.
- Perform additional project coordination and administrative duties as assigned.
Schedule & Availability
This is a full-time, in-office position. Because transportation and construction projects may operate outside traditional office hours, occasional after-hours or weekend availability may be required to address time-sensitive project communications or operational needs.

Compensation
Compensation will be discussed during the interview process and will be based on leadership experience, transportation/heavy-construction experience, and overall qualifications.
Employment Period
New employees are subject to a 90-day introductory/probationary period.
Requirements
- Associate degree preferred.
- Bilingual English/Spanish preferred.
- Previous trucking, transportation, dispatch, logistics, or heavy-construction experience preferred.
- Strong verbal and written communication skills.
- Comfortable communicating professionally and assertively with contractors, foremen, drivers, owner-operators, and other industry personnel.
- Strong organizational skills and attention to detail.
- Ability to work with a sense of urgency when operational needs require it.
- Ability to manage multiple projects, deadlines, phone calls, and changing priorities simultaneously.
- Ability to think independently, troubleshoot problems, and determine when an issue needs to be escalated.
- Dependable and able to maintain consistent attendance.
- Willing and able to learn trucking, transportation, and heavy-construction terminology and processes.
- Working knowledge of Microsoft Word, Excel, and Adobe, with the willingness and ability to learn specialized company software.
- Reliable transportation required.
